When you create a signup form in Chatavise—such as a website pop-up or embedded form—Chatavise automatically creates a starter workflow for you. This workflow is designed to help you immediately follow up with new leads and begin automating engagement.

This article walks you through how to edit and activate that auto-generated workflow so it aligns with your messaging, timing, and business goals.



What This Step Is For

This is Step 3 in setting up the Marketing Suite from the onboarding and launch checklist.

At this point, you’ve already:

  • Created your first signup form (often a pop-up)

  • Configured fields, tags, and locations for the form

Now, you’ll customize the workflow that Chatavise created automatically so new signups receive the right follow-up messages at the right time.


Why Chatavise Auto-Creates a Workflow

Every signup form automatically generates a workflow because:

  • Follow-up is critical to converting leads

  • Automation ensures no signup is missed

  • You shouldn’t have to build everything from scratch

Think of this workflow as a starting template—you’re free to edit, expand, or replace it.


Step 1: Open the Auto-Generated Workflow

  1. Navigate to your Signup Form

  2. Open the Workflows tab

  3. Locate the workflow that shares the same name as your form

    • Example: Website Pop-Up Follow-Up

  4. Click the workflow to open it in a new window

This will take you directly into the workflow editor.


Step 2: Review Workflow Settings

Start in the Settings tab.

Here you can:

  • Set allowed send times
    Prevent messages from going out late at night or outside business hours

  • Allow multiple entries
    Useful if a contact submits the form more than once

  • View estimated SMS credits
    This updates as you add or remove actions

You can adjust these now or return later—nothing is live yet.


Step 3: Edit the Workflow Actions

Go to the Design tab. This is where the automation logic lives.

Default Workflow Structure

By default, the workflow includes:

  1. Immediate text message after form submission

  2. Wait action (usually 2 days)

  3. Second follow-up text

You can edit, remove, or expand any of these steps.


Action 1: Immediate Follow-Up Message

This message is sent as soon as someone submits the form.

To edit it:

  1. Click the first Send Text action

  2. Update the message content

Best practices:

  • Thank them for signing up

  • Set expectations (what happens next)

  • Reinforce your value as a business

Ask yourself:

  • What should this lead know immediately?

  • Is this educational, welcoming, or sales-focused?


Action 2: Delay (Optional)

The Wait action controls timing between messages.

You can:

  • Change the delay (minutes, hours, days)

  • Remove it entirely

  • Add additional delays later if needed

This is useful for spacing out communication without overwhelming new leads.


Action 3: Follow-Up Message

After the delay, a second message is sent.

Here’s where you can:

  • Reinforce value

  • Answer common questions

  • Prompt a reply or action

Use message variables to personalize:

  • First name

  • Business name

  • Location name

Personalization significantly improves engagement—especially since the lead initiated contact by submitting the form.


Step 4: Turn the Workflow On

By default, auto-generated workflows are turned off.

This is intentional—Chatavise gives you time to review and customize before anything goes live.

Once you’re happy:

  1. Toggle the workflow On

  2. Save your changes

That’s it. The workflow is now active.


Step 5: Test Your Signup Form

Before moving on:

  • Submit the signup form yourself

  • Confirm messages arrive as expected

  • Review timing, wording, and personalization

You’ll see submissions appear in the workflow’s activity view as new leads enter.


Optional: Replace or Remove the Workflow

If you prefer:

  • You can delete this workflow entirely

  • Or attach a different workflow to the signup form

  • Or leave the form without a workflow (not recommended)
