After completing the core setup and connecting your business platform, the next step in the Review Suite setup is customizing your review invite workflow. This ensures your review requests match your brand voice while still following best practices that drive high response rates.

This guide walks you through how to locate, edit, and personalize the review invite workflow that was automatically created during setup.



Before You Begin

Before starting this step, make sure you have:

  • Completed Core Setup

  • Connected your business platform (CRM or field service system)

  • Installed the recommended playbooks and core workflows

Do not skip ahead to this step until the core automations are in place.


Why Customize the Review Invite Workflow

Chatavise provides proven boilerplate review invite messages that work well out of the box. However, every business is different, and this step allows you to:

  • Match review messages to your brand tone

  • Personalize messages with customer and business details

  • Adjust timing or follow-ups if needed

  • Ensure a consistent review experience after job completion


Step 1: Open the Workflows Page

  1. From the Review Suite setup step, click Start.

  2. You’ll be taken directly to the Workflows page.

  3. Here, you’ll see workflows that were automatically created from installed playbooks.


Step 2: Find the Review Invite Workflow

Look for the workflow associated with your business platform’s job or order completion event.

Examples:

  • Job Completed (Housecall Pro)

  • Appointment Completed

  • Order Finished

This is where Chatavise sends review invites automatically after work is completed.


Step 3: Edit the Workflow Design

  1. Click on the workflow.

  2. Select Edit, then go directly to the Design tab.

  3. You’ll see the existing actions already configured:

    • A review invite message sent immediately after completion

    • One or more follow-up messages sent later

    • Automatic stopping of follow-ups if the customer clicks the review link

This logic is already handled for you.


Step 4: Customize the Review Invite Message

  1. Click Edit on the message action.

  2. Update the message text to reflect your brand, keeping it clear and simple.

Important Message Variables to Include

To ensure the review invite works correctly, be sure to include:

  • Customer first name (for personalization)

  • Location or business name

  • Review Invite variable

To add the review invite:

  • Type # in the message editor

  • Scroll and select Review Invite

This ensures customers receive the clickable review request that directs them to Google, Facebook, or other enabled platforms.


Step 5: Adjust Review Invite Follow-Ups (Optional)

If you want to:

  • Add follow-ups

  • Remove follow-ups

  • Re-add a follow-up that was deleted

You can do so by:

  1. Adding a new action

  2. Selecting Chatavise as the platform

  3. Choosing Send Review Invite Follow-Up

  4. Completing the action setup

Follow-ups automatically stop once the customer clicks the review invite.


Where Review Invites Are Embedded

If you’re using a Chatavise playbook:

  • Review invites are already embedded in the job or order completion workflow

If you built your own workflows:

  • Add the review invite to the workflow tied to the completion event


You’re Ready to Go Live

Once your message is customized:

  • No additional activation is needed

  • The workflow is already live

  • Review invites will be sent automatically when jobs are completed
