The Visit Updated workflow template in Chatavise automatically adjusts scheduled reminders in Jobber whenever a visit is rescheduled or modified. This ensures customers always receive accurate reminder messages based on the updated visit time — without any manual work from your team.

This guide walks you through how to install the Visit Updated workflow, customize the reminder message and timing, and turn it on when you're ready.


What the Visit Updated Workflow Does

When a visit is rescheduled in Jobber, any previously scheduled reminder becomes outdated. The Visit Updated workflow solves this by automatically removing the old reminder and scheduling a new one based on the updated visit time.

By default, this workflow:

  • Listens for the Visit Updated event from Jobber
  • Removes the previously scheduled reminder
  • Schedules a new Jobber reminder based on the updated visit start time
  • Uses the arrival window you've configured in Jobber

How to Install the Workflow

  1. Navigate to your Jobber integration page in Chatavise.
  2. Locate the Visit Updated workflow template.
  3. Click Install.

The workflow is now installed but not yet active. This gives you a chance to review and customize it before turning it on.


Reviewing the Workflow Design

  1. Click on the newly installed workflow to open it.
  2. Select the Design tab to view the workflow structure.

You'll see the Visit Updated event as the trigger, followed by a Jobber action that schedules a reminder. If you want to learn more about how workflows function, click the Learn How To button inside the workflow editor.


Customizing the Reminder Message

To edit the reminder content:

  1. Click the Edit button on the Jobber reminder action.
  2. Modify the message text as needed.

The default message includes several message variables that pull data directly from Jobber:

  • First name — the customer's first name
  • Business name — your company name
  • Order date — the scheduled visit date
  • Arrival window — the time range set for the visit in Jobber

You can add, remove, or rearrange these variables to match your preferred messaging style.


Adjusting the Reminder Timing

To keep consistency with your Visit Created workflow, consider setting the same delay timing for both workflows. To adjust the timing:

  1. Click Edit on the reminder action.
  2. Select the Delay tab.
  3. Adjust the timing — for example, one day before or a few hours before.
  4. Click Save when you're done.

Activating the Workflow

Once you're satisfied with the message content and timing:

  1. Toggle the workflow On using the switch at the top of the workflow editor.
  2. The workflow is now live and will trigger automatically whenever a visit is updated in Jobber.
