What This Workflow Does

This workflow automatically triggers when someone submits a lead form attached to one of your Meta Ads. Once triggered, Chatavise can:

  • Send an instant text message or email to the lead
  • Send follow-up messages on a schedule you define
  • Assign the lead to a team member for manual follow-up

The goal is to get information to your leads as fast as possible — while you're busy running your business — so you don't lose opportunities to slower response times.


Prerequisites

Before you create this workflow, make sure you've connected your Meta (Facebook) account to Chatavise:

  1. Go to Reviews in the side menu.
  2. Click Manage Reviews.
  3. Locate the Facebook connection option.
  4. If not already connected, follow the prompts to connect your account.
  5. When prompted for permissions, allow access to your lead forms.

Note: You'll need a Facebook Business account to connect your Meta lead forms to Chatavise.


Step 1: Create a New Workflow

  1. Navigate to Workflows in the Chatavise side menu.
  2. Create a new workflow or open an existing one you'd like to modify.

Step 2: Set Up the Activation Trigger

The activation trigger tells the workflow when to start running.

  1. Click to add an Activation Trigger.
  2. Select Integration Event.
  3. Choose Facebook from the integration options.
  4. Select Lead Form Submitted as the event.

This trigger fires whenever someone submits any of your connected Meta lead forms.


Step 3: Add a Condition to Filter by Lead Form

If you have multiple lead forms and want different actions for each, use the conditions engine to filter which form triggered the workflow.

  1. Add a Condition block after your trigger.
  2. Search for Facebook and select Lead Form.
  3. Set the operator to Is or Is Not.
  4. Select the specific lead form from the dropdown — this will show all lead forms connected to your account.
  5. Click Save.

You can add multiple conditions if you want the same workflow to handle several lead forms. Just repeat the steps above and add additional form selections.


Step 4: Add Your Automated Actions

Now add the actions you want to happen when a lead submits the form.

Example: Send an Instant Text Message

  1. Add a Send Text Message action.
  2. Write your message — this could include a greeting, information about your services, or the lead magnet you promised.

Example: Send a Follow-Up Message

  1. Add a Wait action and set the delay — for example, two days.
  2. Add another Send Text Message action with your follow-up content.

Tip: Make sure your Meta lead form includes a phone number field if you plan to send text messages. You can also use email actions if you're only collecting email addresses.


Step 5: Activate the Workflow

Once you're happy with your workflow:

  1. Review all your triggers, conditions, and actions.
  2. Toggle the workflow status to On.
